Covered Smile is a private, independent dental-appointment booking service in Alberta. We aim to handle personal information in accordance with Alberta’s Personal Information Protection Act (PIPA) and other applicable Canadian privacy laws.
What we collect
For an appointment request, we collect your first name, mobile phone number, postal code, optional email, quiz answers and preferred appointment time. We also record the consent wording, when you agreed, your IP address and browser information to document consent and help prevent misuse.
We may keep the advertising source and campaign details that brought you here, including UTM parameters and a Facebook click identifier. We don’t need your Social Insurance Number, tax documents or health card number. Please don’t send them.
For clinic inquiries, we collect the clinic and contact names, phone, email, number of dentists and city. For an area-update waitlist, we collect your email and postal code.
Why we collect it
We use your information to assess whether our booking service may be suitable, confirm your coverage details, match you with a participating dentist, arrange an appointment, send reminders and respond to your questions. Quiz answers are a first check; they do not establish plan eligibility.
If you join the area waitlist, we use your details to tell you when our service reaches your area. We use clinic inquiry details to respond about our services.
Who we share it with
We share your name, phone number and preferred time with the dental clinic you are matched to so it can arrange your visit. The clinic has its own privacy practices and may ask you directly for the information it needs to confirm coverage and provide care.
Service providers that help us store information, manage requests or deliver messages may process the information needed for those tasks. We require appropriate privacy safeguards. Information may be processed outside Alberta or Canada and may be subject to laws in those locations. We may also disclose information when required by law.
We do not sell your personal information. We are not part of the Government of Canada or the Canadian Dental Care Plan.
Your choices and consent
The appointment form asks for your express permission to contact you by text message, phone and email about your appointment and dental coverage options. The checkbox is not pre-selected. You can withdraw that permission at any time by replying STOP to a text or contacting us.
Withdrawing consent does not affect information already lawfully used. It may mean we can no longer arrange or follow up on your appointment. A clinic may need to retain its own records under applicable professional or legal requirements.
Cookies and advertising
Essential browser storage keeps your visit and confirmation working. Optional Meta advertising cookies are used only if you accept them. They can report page visits, quiz step numbers and a successful request — not your form answers, name or phone number. Meta has its own privacy policy.
You can decline optional cookies and still complete the quiz. To reset your choice, clear this site’s browser storage. Campaign attribution is kept for this visit and stored with a submitted request.
How long we keep information
We keep personal information only as long as reasonably needed for the purposes above, consent records, and applicable legal requirements. When it is no longer needed, we securely delete or de-identify it. You can ask us about the retention of your specific request.
Access, correction or deletion
You can ask to access or correct your information, withdraw consent, or request deletion. We may need to verify your identity before responding. Some records may need to be retained where permitted or required by law; we will explain any limitation.

How we protect information
We use reasonable access controls and technical safeguards. Website visitors cannot view, change or delete submitted records. No online service can guarantee absolute security.
